Office Services Administrator

Located in Q9's Head Office, as part of a team of 2 at our Reception desk, you will provide a range of office support services, including reception, telephone, kitchen, supply, travel, and mail services.

Carries out office opening routines daily. |
 |
Answers Q9 incoming calls, redirecting as appropriate. |
 |
Greets visitors and promptly advises hosts of guest arrivals, ensuring Q9 security procedures are respected. |
 |
Accepts and records incoming deliveries. Picks up and sorts incoming mail, assists in mail distribution, and dispatches outgoing mail and courier packages. Monitors incoming faxes and delivers to appropriate party. |
 |
Places catering orders and delivers to required meeting room. Provides refreshments from stock to meeting rooms. Ensures meeting rooms and kitchen areas are clean and ready for next users following close of events. Stocks kitchens. |

Contacts building management and suppliers for ongoing maintenance. |
 |
Provides sales and marketing administrative support, including assembly of promotional materials and coordinating mailings. |
 |
Operates a range of office machines, including reproduction, fax/scan, and compilation equipment, and arranges maintenance when required. |
 |
Orders office, kitchen, and copier supplies. Maintains supply and kitchen areas throughout the day. |
 |
Arranges all travel reservations for staff. |
 |
Carries out daily banking procedures. |
 |
Occasional executive assistant duties |

Carries out daily close of office. |
